We guarantee confidentiality and you can also remain anonymous if you prefer.
BOCCARD Whistleblowing Policy
How does the BOCCARD whistleblowing and alert system protect the whistleblowers and third parties?
BOCCARD is committed to protecting whistleblowers. This protection applies not only to the whistleblower, but also to those around him or her who assist the whistleblower in making the report or disclosure.
The confidentiality of the identity of the whistleblowers, persons concerned, and any third parties mentioned in the alert is guaranteed.
Personal data will only be kept for as long as is strictly necessary and proportionate for the processing of an alert, and for the protection of the author of the alert and the persons mentioned in the alert.
How does the BOCCARD whistleblowing and alert system work?
All concerns reported via the BOCCARD whistleblowing and alert system are initially handled by Safecall, an independent, impartial, and externally run service provider.
Concerns can be raised via the Safecall web-based portal (by clicking on the “Report a new concern” link) or via the dedicated Safecall phone number. Should you choose to report your concern via the Safecall phone number, your call will be handled by a Safecall team member, who is independent of BOCCARD.
When reporting a concern, you will be asked:
- if you wish to provide your name or remain semi-anonymous (only identified by the Safecall portal) or anonymous (neither identified by the Safecall portal nor BOCCARD);
- to choose your preferred method of contact (Email, Phone or the Safecall portal);
- to provide a detailed overview of your concern. When raising a report, it is crucial that you provide as much information and context as possible.
Safecall will forward your report to the relevant BocEthic Committee members depending on the reported topic, who will review it without delay. All information received will be taken seriously and treated confidentially, in accordance with the applicable laws and regulations.
You will receive a status report.
In some instances, it may be necessary for the BocEthic Committee members to liaise with you in order to seek clarification or request additional information to support the build out of the investigation plan and investigation team. This will be done via your selected preferred communication method.
Please note:
- if you choose to remain anonymous, the Safecall portal will be the default method of contact used in order to maintain your anonymity.
- if you choose to report a concern anonymously via the Safecall phone number you will be provided with a whistleblower number at the end of the call. This is the unique identifier with which you will need to sign into the web-based portal to monitor the status of your concern.
We ask that whistleblowers continue to support the process after they have raised their concern and monitor the web portal for follow up requests and updates.
Who may use the BOCCARD whistleblowing and alert system?
Every person who wants to make a report with regard to unethical and/or unlawful behavior by BOCCARD, BOCCARD personnel, and/or third parties including but not limited to direct and indirect suppliers.
BOCCARD’s whistleblowing and alert system is open to everyone with substantiated concerns regarding unethical and/or unlawful behavior relating to the activities of BOCCARD. Reports may be made for others and the concern reported doesn’t need to directly or indirectly affect the whistleblower.
Which topics may be reported to the BOCCARD whistleblowing and alert system?
You may report (among others) concerns on the following matters:
Business and Finance :
- Fraud, theft, swindling, misuse of corporate assets
- Money laundering, tax, fraud
- Violation of competition law
- Conflict of interests
- Corruption, influence peddling, breach of rules governing gifts and invitations.
- Non-compliance with international sanctions and embargoes
Health, environment, security, personal protection:
- Serious breaches of personal data protection (e.g., large-scale data leakage)
- Serious breaches of personal rights and protection (e.g., discrimination, moral, physical, or sexual harassment, forced labour, infringement of trade union freedom)
- Serious damage to the environment involving major risk or serious harm (e.g., pollution)
- Non-compliance with health and safety regulations
- Nuclear safety
- Counterfeit, Fraudulent, and Suspect Items (CFSI)
If you are not sure whether the situation that you observed constitutes a compliance breach, you can use the dedicated Safecall phone number for an exchange with a trained team.
What can I do to support the assessment/investigation of my report?
It’s important that you provide as many relevant details as possible when raising your concern in order to help give context and support the build out of the investigation plan and investigation team.
The BocEthic Committee members carry out a preliminary analysis of the admissibility of all reports received and ensures that:
- The alert falls within the scope of the BOCCARD WHISTLEBLOWING PROCEDURE,
- The elements reported are factual and sufficiently detailed to be verified.
The whistleblower is informed of the admissibility of his or her alert by the BocEthic Committee via the BOCCARD whistleblowing and alert system within seven (7) calendar days, or any other period set by applicable laws and regulations.
- Inadmissible alerts are closed.
- Admissible alerts are appropriately investigated.
While your report is being processed, further inquiries may arise.
